Payroll Services in South Africa: A Practical Employer Guide
Updated 7 October 2026

Payroll services in South Africa can include remuneration calculations, payslips, employee payroll records and support with employer declarations and reconciliations. The service scope should specify who supplies information, approves payroll, submits returns and makes payments.
A growing payroll can become difficult to manage through disconnected spreadsheets and last-minute instructions. The practical goal is a repeatable process connecting employee information, approved calculations, payments and accounting records.
What should a payroll arrangement include?
Start by agreeing which functions you need. These may include monthly payroll processing, payslips, leave inputs, applicable deductions and contributions, payroll reporting, and employee tax certificate preparation.
Also agree the monthly timetable. A provider cannot accurately process information that has not been supplied or approved. Set an input cut-off, an approval process and a way to handle adjustments discovered afterwards.
What is an EMP201?
The EMP201 is the monthly employer declaration used to report relevant PAYE, SDL, UIF and ETI amounts. See SARS employer-account guidance.
SARS explains that employees' tax and applicable SDL and UIF payments are generally due within seven days after month-end, with the preceding business day applying when the seventh is a weekend or public holiday. Check the current requirements and calendar. See the SARS employer tax guide.
What is an EMP501 reconciliation?
An EMP501 reconciliation checks the relationship between employer declarations, payments and employee tax certificate information. Differences need to be investigated and corrected through the appropriate process. Read SARS employer declaration guidance.
For a practical monthly check, compare the payroll totals with the relevant declarations and payment records. Investigate missing payments or adjustments while the records are still easy to locate, instead of leaving every discrepancy until reconciliation season.
What is the 2026 interim reconciliation period?
SARS confirms that the 2026 interim submission period runs from 21 September to 31 October 2026 and covers 1 March to 31 August 2026. See the official SARS interim filing notice.
Use the period to check the relevant six months of records, identify discrepancies and prepare the reconciliation. The employer's situation and any outstanding prior submissions should also be considered.
A monthly payroll checklist
- Collect changes to employee information, leave and remuneration.
- Review payroll calculations and investigate unexpected differences.
- Obtain approval from the person responsible for the payroll.
- Complete the agreed payslip and payment processes.
- Prepare applicable declarations and confirm submission/payment responsibilities.
- Reconcile payroll information with accounting and retain the supporting records.
This is a suggested operating checklist, not a substitute for checking the requirements applicable to your business.
Questions to ask before outsourcing payroll
- Are declarations and reconciliations included or separately scoped?
- Who approves payroll and who releases payments?
- How are employee changes and corrections communicated?
- What information is needed each month?
- How will payroll reporting connect to the accounting records?
A clear scope makes it easier to understand what has been completed and which actions remain with the employer. Outsourcing administration does not make the employer's responsibilities disappear.

Frequently asked questions
Are EMP201 and EMP501 the same?
No. The EMP201 is a monthly declaration. The EMP501 is an employer reconciliation.
Should a small business outsource payroll?
That depends on the complexity, available skills and time required. Compare the support offered with the work you currently struggle to complete accurately.
Can payroll and bookkeeping be coordinated?
Yes. Agree how payroll totals, payments and deductions will be reflected in the accounting records. This can make monthly checking easier.
